Company fleets
Your vehicles serve your business and earn nothing on their own. They cost money, in servicing as in paperwork, and above all when one of them sits in the garage because a roadworthiness test lapsed. Your drivers are on the payroll. The question is what each vehicle costs the company. Flot Pilot keeps every vehicle’s papers and servicing, and, with the mileage noted at each fill-up, gives you each one’s cost per kilometre.
Insurance and the roadworthiness test both have their dates on the vehicle’s record, and Flot Pilot warns the fleet manager before the deadline. You renew in time, rather than grounding a vehicle on a Monday morning over a test that lapsed two weeks ago.
Each service done is noted on the vehicle’s record, with its cost, and the next one gets its reminder date. Real mileage, read from the GPS tracker, tells you when a vehicle is driving more than planned and deserves its oil change sooner.
A tyre or a repair: the expense is logged against the vehicle concerned, the same day, with its amount. Receipts stop piling up in the glovebox until month end. Export the lot for your accounts department whenever it asks.
The results sheet divides expenses by the mileage noted at fill-ups and gives each vehicle’s cost per kilometre, over 30 and 90 days. Compare two vehicles of the same model and see which one is costing too much, before you decide what to replace.
Each salaried driver has a file, with their documents and the vehicle assigned to them. When they change vehicle, one move does it and the history stays, so you know who was driving which vehicle on the day of a fine or a scrape.
With a compatible GPS tracker, each vehicle reports its positions and trips. The fleet manager sees where each vehicle went during the day and how far it drove, without asking anyone for a report. Supervisor and accountant each have their own access, limited to what concerns them.
